Your account gives you full access to Word, Excel, PowerPoint, Outlook, and all the online tools, including OneDrive with 5 GB of cloud storage. This includes collaboration tools such as commenting, history of changes (for a short time), etc.

That said, if you need more storage space or access to premium features on Microsoft 365 Online tools, you’ll need to subscribe to a paid Microsoft 365 plan. Several plans are available depending on what features you need. Some of Microsoft Copilot's enhanced features and premium business tools are only available through paid plans.

Which operating systems are compatible with Microsoft 365 Online?

The platform can operate on any contemporary browser on any Windows, macOS, Linux, or ChromeOS. You only need a modern web browser such as Edge, Chrome, Safari, or Firefox, and no additional installations are required. 

Android and iOS special apps permit access to Microsoft Office tools for free and are synced to your Microsoft account. A PowerPoint deck can be edited on a Windows machine and commented on using an iPad — cloud syncing takes care of all the details. Copilot works even on older hardware or Chromebooks, and it updates on its own; you don’t have to mess with patches.

What are the alternatives to Microsoft 365 Online?

One of the popular ones is Google Workspace, which offers its free version to any individual. It has a simple interface, and AI assistants based on Gemini, such as Help Me Write and Smart Compose are already in place. Another similar office suite that resembles the Microsoft Office is WPS Office, created by Kingsoft. It is compatible with all significant file formats (DOCX, XLSX, PPTX) and is less substantial, which is beneficial in case of older machines. WPS additionally has a cloud drive and, more recently, an AI writing assistant. Although not a strong part of enterprise ecosystems, it is still popular with students and freelancers wanting to have a similar office-like experience, but free of charge.

Onlyoffice is a web-based app with a clean interface for editing docs, spreadsheets, and slides. Users have the option to run their own on their own private servers or get a cloud-hosted version so that they have privacy. Its design is based on Microsoft Office and Google Workspace, and is more modular with respect to its admin features and integrations with Nextcloud, Jira, and other CRMs.
